1. Services Provided

Summit Scent Co. provides candle-making workshops conducted at locations chosen by the customer or event host, including but not limited to private residences, offices, event venues, and commercial spaces.

Summit Scent Co. does not operate a permanent public workshop facility. All events are conducted at third-party locations arranged by the host or client.

2. Host Responsibilities

The individual or organization booking the workshop ("Host") agrees to:

  • Provide a safe and suitable location for the workshop

  • Ensure adequate table space and seating for participants

  • Ensure the venue complies with local fire safety rules

  • Ensure reasonable access to the venue for Summit Scent Co. staff

  • Inform participants of any venue rules or restrictions

Summit Scent Co. reserves the right to refuse or terminate a workshop if the location is deemed unsafe or unsuitable.

3. Participant Conduct

Participants agree to:

  • Follow all safety instructions provided during the workshop

  • Use tools, wax, fragrance oils, and equipment responsibly

  • Avoid disruptive or unsafe behavior

  • Comply with all venue rules

Summit Scent Co. reserves the right to remove any participant whose behavior poses a risk to themselves, others, or property.

4. Acknowledgment of Risks

By booking, hosting, or participating in a Summit Scent Co. workshop, you agree to release, waive, and hold harmless Summit Scent Co., its owners, employees, contractors, representatives, successors, and heirs from any and all claims, liabilities, damages, injuries, losses, or expenses that may arise from participation in the workshop.

This includes, but is not limited to:

  • Personal injury

  • Property damage

  • Accidents occurring at the event location

  • Injuries caused by participant misuse of materials or equipment

Participants agree that they are attending and participating at their own risk.

The Host additionally agrees to hold Summit Scent Co., its owners, employees, contractors, and heirs harmless for any injuries or damages arising from conditions at the venue or property where the workshop takes place.

6. Venue Liability

Because Summit Scent Co. conducts workshops at locations selected by the Host, Summit Scent Co. is not responsible for the safety, accessibility, condition, or maintenance of the venue.

Any liability related to the property, premises, or environment remains the responsibility of the property owner, venue operator, or Host.

7. Allergies and Sensitivities

Workshop materials may include fragrance oils, dyes, and waxes. Participants are responsible for informing themselves of any potential sensitivities or allergies.

Summit Scent Co. is not responsible for allergic reactions or sensitivities to materials used during the workshop.

8. Damage to Property

Participants may be held responsible for damages caused to equipment, supplies, or property due to negligent or intentional misuse during the workshop.

9. Payments and Booking

Full payment or deposit terms may be required to reserve a workshop date. Workshop reservations are not confirmed until payment requirements have been satisfied.

Pricing, deposits, and scheduling terms may be outlined separately in booking agreements or invoices.

10. Cancellations and Rescheduling

Cancellation and rescheduling policies may vary depending on the booking agreement. Summit Scent Co. reserves the right to reschedule workshops due to emergencies, safety concerns, or circumstances beyond our control.

11. Photography and Media

Summit Scent Co. may occasionally take photographs or videos during workshops for promotional or marketing purposes. By participating, attendees consent to the possible use of their image unless they notify Summit Scent Co. in writing prior to the event.

12. Intellectual Property

All workshop materials, candle formulas, guides, branding, and instructional content provided by Summit Scent Co. remain the intellectual property of the company and may not be reproduced, distributed, or used for commercial purposes without written permission.

13. Indemnification

Participants and Hosts agree to indemnify and defend Summit Scent Co., its owners, employees, contractors, and heirs against any claims, damages, liabilities, or expenses resulting from:

  • Participant misconduct

  • Violations of this Agreement

  • Unsafe conditions at the workshop venue

  • Actions of attendees or guests

14. Governing Law

This Agreement shall be governed by and interpreted in accordance with the laws of the state in which Summit Scent Co. operates, without regard to conflict-of-law principles.

By booking, hosting, or attending a Summit Scent Co. workshop, you acknowledge that you have read, understood, and agree to these Terms and Conditions and voluntarily accept all terms contained herein.

Returns & Cancellations

This policy outlines the terms governing purchases, workshop bookings, cancellations, returns, rescheduling, and weather-related circumstances for Summit Scent Co. By purchasing products or booking a workshop, you agree to the following terms.

1. Payment Terms

Full payment is required at the time of booking in order to reserve your place in a Summit Scent Co. workshop.

Workshop reservations are not considered confirmed until payment has been successfully received.

Because workshops often fill quickly and may have waiting lists, securing your booking with payment ensures fairness for all participants.

2. Workshop Cancellation Policy

Cancellations must be made at least 48 hours prior to the scheduled workshop time.

  • Cancellations made 48 hours or more in advance may qualify for a refund at the discretion of Summit Scent Co.

  • Cancellations made less than 48 hours before the scheduled workshop are nonrefundable.

This policy exists because our workshops frequently have waiting lists, and last-minute cancellations prevent others from participating.

3. Workshop Rescheduling

Participants may reschedule their workshop at any time to a future available workshop date.

Rescheduled bookings must be applied toward a future Summit Scent Co. workshop and are subject to availability.

Summit Scent Co. reserves the right to limit excessive or repeated rescheduling requests.

4. Inclement Weather Policy

The safety of our participants and staff is important to us. In the event of severe or hazardous weather conditions, Summit Scent Co. may determine that a workshop cannot be conducted safely.

Examples may include but are not limited to:

  • Severe storms

  • Snowstorms or hazardous winter conditions

  • Flooding or extreme weather events

  • Government travel advisories or emergency declarations

If a workshop must be postponed due to inclement weather:

  • Participants will be given the option to reschedule to a future workshop date at no additional cost, or

  • Receive a refund at the discretion of Summit Scent Co.

If a participant is unable to attend due to weather conditions affecting their travel but the workshop is still able to proceed, Summit Scent Co. may offer rescheduling accommodations at its discretion.

Because our workshops are held at third-party locations selected by the host, weather-related decisions may also depend on local safety conditions, travel advisories, and venue availability.

5. Product Return Policy

Summit Scent Co. takes pride in the quality of our products. Returns are accepted only for items that arrive damaged due to an error or fault on our part.

To qualify for a return or replacement:

  • The item must have been damaged during production, packaging, or shipment due to our handling

  • Damage must be reported within 7 days of delivery

  • Customers may be required to provide photographic proof of the damage

Returns or replacements will not be issued for:

  • Damage caused after delivery

  • Improper handling or storage by the customer

  • Normal variations in handmade products

  • Personal preference such as scent, color, or style

Approved claims may be resolved with a replacement item, store credit, or refund at the discretion of Summit Scent Co.

6. Workshop Materials and Handmade Items

Items created during workshops are handmade by participants and may contain natural imperfections. These variations are part of the handmade process and are not considered defects. Summit Scent Co. is not responsible for results of candles made by participants during workshops.

7. Shipping Issues

If an order arrives damaged due to shipping, customers must notify Summit Scent Co. within 7 days of delivery.

Failure to report shipping damage within this timeframe may result in denial of a replacement or refund.
